Common Reasons Exam Application Forms Get Rejected (And How to Avoid Them)

Every year, between 1% and 5% of applications to major Indian recruitment exams are rejected for reasons that have nothing to do with the candidate's ability. These are avoidable mistakes — the kind that happen in the last hour before a deadline, with tired eyes and an unstable internet connection. This post is a field guide to every common one we've seen, so you don't join that unlucky statistic.

1. Wrong Photo Dimensions or File Size

By far the number one rejection cause. Every conducting body — SSC, UPSC, IBPS, RRB, NTA — specifies exact pixel dimensions and KB ranges. A 45 KB photo on a form that allows only up to 40 KB is as rejected as a 400 KB photo. The portal will often let you upload it without complaint, but the verification team later flags it and your application dies silently.

2. Signature in Capital Letters

Many candidates, trying to be "clear and professional", print their name in capital letters instead of signing. Every major Indian exam explicitly bans this. The signature is a legal mark of authentication — it has to be in your natural running hand.

Fix: Sign the way you sign cheques. If you've never signed before, develop one now and practice it; you'll need to repeat it on the admit card and answer sheet.

3. Photo with Caps, Sunglasses or Heavy Filters

Face identification algorithms and human invigilators both need to see your features. Anything that covers the face triggers rejection. Beauty filters are subtler but just as damaging because they alter geometry.

Fix: Click a plain photo in daylight with no filters.

4. Incorrect Category / Fee

Submitting as OBC-NCL without a valid certificate on the cut-off date, or paying the General fee when eligible for SC/ST concession, causes scrutiny rejection.

Fix: Have your caste certificate, PwD certificate, EWS certificate and any other claim document ready as PDFs before you start the form.

5. Typo in Name, Date of Birth or Father's Name

Every detail must exactly match your Class 10 marksheet. A missing middle name, an extra space, "Kumar" vs "Kr.", or a date of birth off by one day — these will fail document verification even if you clear the exam.

Fix: Open your Class 10 marksheet in another tab and copy-paste every field character by character.

6. Incomplete Preference List

For exams like SSC CGL, UPSC CSE, CAPF AC, IBPS CRP you must fill a service/post preference list. Candidates sometimes only fill their top choice, assuming they'll be allotted it. If they don't make the cut for that one preference, they lose the whole shot.

Fix: Fill the preference list completely and in the true order of your actual preferences.

7. Unsigned or Blank Declaration

At the end of most forms there's a self-declaration checkbox and often a separate handwritten declaration upload. Skipping either voids the form.

Fix: Read every checkbox carefully. For handwritten declarations, write the exact text provided by the notification — not paraphrased — in English, in running handwriting.

8. Paid Fee But Didn't Complete Application

You click "Pay" and the money goes. The portal hangs. You close the tab, assuming the fee "went through". In many portals, the form is only considered submitted when you click "Final Submit" after payment. An unsubmitted form is not an application, no matter how much fee was paid.

Fix: After payment, always return to the portal, check the application status, and download the final submission receipt.

9. Mismatched Photograph and Signature Files

Accidentally uploading the signature in the photo field and vice versa. The portal shows tiny thumbnails, so on a phone screen it's easy to miss.

Fix: Always preview at full size before the final submit.

10. Missed Deadline by Minutes

Indian exam portals famously crash in the last 24 hours. Candidates who waited until the last evening find themselves locked out.

Fix: Finish the form at least 48 hours before the deadline. Pay the fee on a weekday morning when bank gateways are least loaded.

A 2-Minute Pre-Submit Audit

Before you hit Final Submit, answer out loud:

1. Does my photo look like me, and is it crisp?
2. Is my signature in lowercase running script?
3. Have I verified name, DOB, and parents' names against my Class 10 marksheet?
4. Have I uploaded the right file in each field?
5. Have I ticked every declaration checkbox?
6. Is the fee shown as "Paid" with a transaction reference?
7. Have I downloaded the acknowledgement PDF?

If every answer is yes, submit with confidence.
